Kaldr Tech + Google Sheets
Export any Kaldr report to a live, always-current spreadsheet
What It Does
The Kaldr Tech Google Sheets integration writes any Kaldr report or data set into a live Google Sheet that updates on a schedule you choose. Jobs, invoices, customers, payments, estimates, time entries, and custom field data can all flow into sheets where owners, bookkeepers, and CPAs can slice them however they want. Unlike a one-time CSV export, the sheet stays current, so the pivot table you built last quarter still works today with fresh data. Column mapping is configurable, and you can push to multiple sheets from one Kaldr workspace, which is useful for separating tech-facing views from owner-facing views.
Why It Matters
Every shop has at least one person who lives in spreadsheets. Whether it is the owner running weekly KPI reports, the bookkeeper prepping for the CPA, or the operations manager tracking tech utilization, the request is always the same: I need this data in a spreadsheet so I can cut it my own way. Most shops solve this with manual CSV exports that take 20 to 40 minutes each and are out of date the moment they land in the inbox. Over a year, a single person running 3 manual exports a week loses about 100 hours, worth $5,000 at a $50 per hour rate. Multiply across the operations manager, bookkeeper, and CPA, and most shops are burning $15,000 or more a year on exports that a live sheet could replace. Beyond time, live sheets unlock better decisions because the data is always current. Owners who track weekly close rate, average ticket, and tech revenue in a live Google Sheet catch problems in days instead of months. And because the Kaldr integration marketplace is free to connect, you get all of this without another subscription, and Google Sheets itself is free.
How to Set It Up
- 1
Connect your Google account
From Settings, Integrations, Google Sheets, click Connect. Sign in with the Google account that should own the synced sheets and approve Sheets read and write permissions. Most shops use the owner's or ops manager's account for this.
- 2
Create or pick a target sheet
Let Kaldr create a new sheet for you or pick an existing one. If you are new to this, let Kaldr create a starter sheet with pre-built tabs for jobs, invoices, customers, and payments so you have a working template on day one.
- 3
Configure column mapping
Choose which Kaldr fields go into which columns. You can include custom fields, computed metrics like revenue per job, and even pre-joined data like the tech name and customer name on the same row. Takes about 10 minutes to dial in.
- 4
Set the sync schedule
Pick how often the sheet should refresh: every 15 minutes, hourly, daily, or on demand. Most shops use hourly for operational sheets and daily for owner-level KPI sheets, which keeps Google Sheets from hitting rate limits.
- 5
Build your pivots and charts
Once data starts flowing, use Google Sheets pivot tables and charts to build the views you actually want. Because the underlying data keeps updating, your pivots and charts stay current forever without any manual refresh.
What You Can Do With It
- ✓An owner runs a weekly revenue by tech pivot in Google Sheets that auto-updates every morning, so the Monday meeting starts with real numbers instead of stale ones.
- ✓A bookkeeper builds a monthly close checklist in Google Sheets that pulls from the synced invoices tab and checks off each invoice as it reconciles in Xero.
- ✓An operations manager tracks average ticket size by service category in a live chart that refreshes hourly and catches pricing issues within a day.
- ✓A CPA gets view-only access to a dedicated Google Sheet with the exact columns and tabs she needs for quarterly reporting, and never asks the owner for a CSV export again.
- ✓An apprentice program tracks training hours per tech in a custom sheet that pulls job and time entry data from Kaldr, no manual entry required.
Frequently Asked Questions
Is the Google Sheets integration free to connect?
Yes. Every integration in the Kaldr marketplace is free to connect, and Google Sheets itself is free for personal Gmail accounts. Google Workspace accounts work identically.
How often can the sheet refresh?
As often as every 15 minutes. Most shops pick hourly for operational sheets and daily for KPI sheets, which balances freshness against Google Sheets rate limits.
Can I include custom fields?
Yes. Any custom field you have defined in Kaldr can be included in the sync, including computed metrics and pre-joined fields like tech name and customer name on the same row.
Will it break my existing pivot tables?
No. Kaldr writes data into the same columns on every sync, so pivot tables and charts built on top of those columns keep working forever. Schema changes are the only exception, and Kaldr warns you before applying them.
Can I share the sheet with my CPA or bookkeeper?
Yes. Once Kaldr has written the sheet, it is a normal Google Sheet, so you can share it read-only or read-write with anyone using Google's native sharing. No extra Kaldr seats required.
